WHY DOES THE TIME CLOCK SAY “EMPLOYEE NOT FOUND” WHEN HE/SHE TRIES TO PUNCH IN?

The time clock displays the error message “EMPLOYEE NOT FOUND” when an employee punches because the clock does not have the employee’s information to validate them.  The clock could not have the employee’s information for a few different reasons, but most often it is caused by the employee not being included in the range of user’s authorized the use that clock. 

The Data Collection Device Management screen is used to setup and run basic maintenance on time clocks and other timekeeping devices connected to VTI.  To access this screen hover over the ADMIN icon, then the DCD submenu, and then click on the DCD Setup link.

Each clock set up in Data Collection Device Management references a Location. Once you have noted the location associated with the clock that cannot find the employee, navigate to the SCHEDULE icon > Component Config > Locations navigation link.  This will open the Locations screen.  Navigate to the page with the location from DCD Setup on it and click on the Allowed Users button associated with the location.  This will open the Allowable User per Location screen.  Confirm the missing user’s range and/or name is listed in the Included boxes for the location.  If it is not, you can add the user’s range by selecting it from the Excluded box, then click the < button to move it to the Included box, and then click Update to save the change.

Once you have set the allowed users on the Location screen you will need to perform a manual refresh to send the employee’s information to the clock and allow them to punch.  To do this, go back to the DCD Setup screen (Admin > DCD >DCD Setup) and click on the Refresh Now button for the clock.  This will update the users record on the clock and will allow the user to punch at the clock once the update is complete.

If the clock is a badge reader, make sure the user is using the correct badge, especially if they have recently been given a new badge to replace a lost one.  Once a new badge is issued, the old badge is expired and will no longer be associated with the user.
