WHY WON’T WHO IS IN WRITE TO THE TIMECARD?

Who Is In will update the timecard as new punches are received or changes are made.   If the updated information is not being written to the timecard, it could be for one of the following reasons:

The timecard may be open by a user or may have been signed.

The Document Review screen provides status information for a timecard and is accessible from the Review icon via the Review navigation link or from the PEP icon via View Timecards navigation link.  Locate the user’s timecard that is not being updated by selecting the pay period and entering their Emp ID or Emp Name and clicking the Search button. 

Once located, the link under Status should say Saved.  Timecards that are Pending Approval or Approval Complete will not resync and will generate an exception message that says Timecard signed beyond allowable role in Who Is In.  Returning the timecard to the user will allow Who Is In to update the timecard.  If the status is Saved, click on the link to display the IntelliTime View Signatures screen.  This screen will display the user that has the timecard open.  If the user does not have the timecard open, they may have abruptly ended the session in which case they should access the timecard and exit properly by clicking the Return button.

If the user is not available to close the timecard, the system is configured with a timeout setting that will close the timecard and will allow the timecard to be updated by Who Is In.  The time out setting is available from Admin icon under the System Config and then System Settings navigation links.  Navigate the System Setting screen until you see the Session Timeout setting.  Here you will see current timeout setting. 

The user may not be configured to have Who Is In write to their timecard.

To determine whether or not Who Is In is supposed to be writing to a particular user’s timecard, first find the user in User Maintenance.  This screen is accessed through the ADMIN icon and the Users navigation link.  Enter the user’s Emp ID or Emp Name and click the Search button (or press the Enter key) to find the user.

In the upper right section of the screen there is a pick list titled Post To Timecard.  This pick list determines which modules will write to this user’s timecard.  If the option that was chosen for this user in that pick list does not include “DCD” (which stands for Data Collection Device) then Who Is In is not configured to write to the user’s timecard.   If the setting is incorrect, it can be changed by choosing something else in the pick list and clicking Update at the bottom of the screen.  After that is done changing a punch in Who Is In will prompt it to write to the timecard.
